This Privacy Policy explains how Keystone CRNA LLC, a Washington limited liability company doing business as KeystoneCRNA (“KeystoneCRNA,” “we,” “us,” or “our”), collects, uses, discloses, and otherwise handles personal information, as well as the choices available to you regarding that information.

This Privacy Policy applies to keystonecrna.com and the KeystoneCRNA continuing education platform (collectively, the “Platform”).

1. The short version

KeystoneCRNA collects the information reasonably necessary to create and secure your account, provide continuing education, document course completion, report continuing education credits, process purchases and rewards, communicate with you, and operate Platform features such as Ether.

We do not sell your personal information, and we do not disclose it to third parties for their own advertising or marketing purposes.

We do disclose limited information when necessary to provide the services you request. For example:

• We report completed continuing education credits to the American Association of Nurse Anesthesiology (“AANA”).
• Stripe processes payments.
• Tremendous administers gift card rewards.
• Hemisphere Design hosts and supports the Platform and its database.
• A third party email delivery provider sends automated Platform communications. 
• OpenAI provides the artificial intelligence technology used to power Ether.

The sections below explain these practices in more detail.

2. Information We Collect

Information you provide to us

Depending on how you use the Platform, we may collect:

• Account information — including your name, email address, password credentials, and AANA ID number.
• Purchase and transaction information — including what you purchased, when you purchased it, the amount paid, transaction status, and limited payment information made available to us by Stripe. Payment card information is entered through Stripe and KeystoneCRNA does not intentionally store your full payment card number.
• Course and continuing education information — including information associated with lessons, assessments, post-tests, scores, attempts, course completion, credits earned, and certificates.
• Gift card reward information — including the reward amount, selected retailer or reward option, and email address used for delivery through Tremendous.
• Advocacy participation information — including whether you completed an optional advocacy lesson or pledge when applicable.
• Communications with us — including support requests, emails, and other information you voluntarily send to KeystoneCRNA.

• Ether conversations — including the prompts you submit and the responses Ether generates. These conversations are stored with your account while it remains active, as described in Sections 6 and 10.

Information collected automatically

When you use the Platform, certain technical information may be collected automatically, such as:

• IP address;
• browser type and version;
• device type;
• operating system;
• pages or Platform features accessed;
• date and time of access; and
• technical information used for security, troubleshooting, and operation of the Platform.

We may use this information to maintain Platform security, prevent misuse, diagnose technical problems, and understand how the Platform is being used.

Patient and Third-Party Information

KeystoneCRNA is an educational platform and is not a patient care, electronic health record, clinical documentation, or protected health information system.

Do not submit patient names, protected health information (“PHI”), patient identifiers, or other identifiable third-party information through Ether, lessons, post-tests, support requests, or any other area of the Platform.

KeystoneCRNA does not request this information and the Platform is not designed to receive or maintain it.

3. Your AANA ID number

KeystoneCRNA collects your AANA ID number so that continuing education credits you earn through the Platform can be associated with the correct AANA record and reported to AANA.

Providing an AANA ID number does not mean that KeystoneCRNA independently verifies your professional identity, licensure, certification status, or eligibility to practice.

We use your AANA ID number for continuing education administration and reporting and for related Platform recordkeeping.

We do not sell your AANA ID number or use it for third-party advertising or marketing.

4. Reporting your credits to the AANA

KeystoneCRNA provides continuing education programs approved for AANA credit where identified in the applicable course materials.

When you complete the requirements necessary to receive continuing education credit, KeystoneCRNA reports the applicable completion information to AANA.

Information submitted may include:

• your name and contact information;
• your AANA ID number;
• the applicable course code; and
• the number of credits completed.

KeystoneCRNA generally aims to report completed credits within two weeks of completion and will report credits within the applicable AANA reporting requirements.

Reporting earned credits to AANA is an integral part of providing AANA-approved continuing education. If you do not want course completion information reported to AANA, you should not complete a course for continuing education credit.

5. Service providers and other thrid parties

KeystoneCRNA uses third parties to perform services necessary to operate the Platform. We seek to disclose only the information reasonably necessary for the applicable purpose.

Stripe

Stripe processes payments made through the Platform.

Payment card information is entered through Stripe's payment systems. KeystoneCRNA does not intentionally receive or store your full payment card number.

Stripe may receive information such as your name, email address, billing information, payment information, and transaction details.

Tremendous

KeystoneCRNA uses Tremendous to administer and deliver eligible gift card rewards.

Tremendous may receive information necessary to issue or deliver your reward, such as:

• your name;
• email address;
• reward amount; and
• selected reward or retailer.

Once you interact directly with Tremendous or a selected retailer, that company's own privacy terms and practices may also apply.

AANA

KeystoneCRNA provides AANA with the information necessary to report continuing education credit as described in Section 4.

Ether AI

KeystoneCRNA uses OpenAI’s API to provide the artificial intelligence functionality used by Ether.

Every prompt submitted to Ether, including a prompt that is unrelated to KeystoneCRNA course content, is transmitted to OpenAI so that Ether can generate a response or redirect the user to an appropriate course-related topic.

Under OpenAI’s standard API data practices, OpenAI may retain API inputs and outputs for up to 30 days for abuse monitoring, unless longer retention is required by law or reasonably necessary to protect its services or others from harm.

OpenAI does not use API inputs or outputs to train or improve its models by default unless the API customer affirmatively opts in. KeystoneCRNA has not opted in to sharing Ether prompts or responses for model training.

Hemisphere Design

Hemisphere Design hosts the Platform and its database on a server it operates and provides website-development, infrastructure, maintenance, and related technical services. In performing these services, Hemisphere Design may process account, course, transaction, Ether, and technical information maintained through the Platform.

Automated Email Provider

KeystoneCRNA uses a third-party email delivery provider to send automated Platform messages, such as account-verification messages, password resets, receipts, completion notices, and other transactional communications. That provider may receive the recipient’s email address, message content, and delivery-related technical information.

We may also disclose information when reasonably necessary to:

• comply with applicable law, legal process, subpoena, court order, or other lawful government request;

• investigate fraud, abuse, security incidents, or violations of our agreements;

• protect the rights, property, or safety of KeystoneCRNA, our users, or others; or

• complete a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.

If personal information becomes subject to materially different privacy practices as the result of a business transaction, we will provide notice when required by applicable law.

6. Ether and Artificial Intelligence

Ether is an educational artificial intelligence assistant made available through certain KeystoneCRNA offerings.

Ether is designed to answer questions relating to KeystoneCRNA educational and course content. It is not designed to function as a general-purpose conversational assistant.

Ether uses KeystoneCRNA course content and artificial intelligence technology provided through the OpenAI API to generate educational responses.

When you submit a prompt to Ether, the prompt and relevant course context are transmitted to OpenAI. This occurs even if the prompt is unrelated to KeystoneCRNA course content. Ether is instructed to answer only course-related questions and to redirect other requests, but the prompt must still be processed by OpenAI for that response to be generated.

KeystoneCRNA stores Ether prompts and responses with your account so that the conversation remains available while your account is active. KeystoneCRNA’s application logs do not separately record the text of Ether prompts or responses.

When your account is deleted, KeystoneCRNA deletes the Ether conversation history associated with that account. OpenAI may separately retain API inputs and outputs for up to 30 days under its standard abuse-monitoring practices, subject to the exceptions described above.

KeystoneCRNA has not opted in to allowing Ether prompts or responses to be used to train OpenAI’s models.

Ether is an educational study tool only. It is not medical advice, clinical guidance, patient-specific decision support, or a substitute for independent professional judgment.

Artificial intelligence systems can produce incomplete, inaccurate, outdated, or otherwise incorrect information. You remain responsible for independently evaluating information provided through Ether.

Do not submit patient information, PHI, patient identifiers, or confidential third-party information to Ether.

7. Email and communications

Service and Transactional Communications

We may send communications necessary to provide or administer the Platform, including:

• account and verification messages;
• password reset communications;
• receipts and transaction confirmations;
• continuing education completion information;
• gift card reward notifications;
• security notices; and
• responses to support requests.

These communications relate to your account or transactions and generally cannot be opted out of while maintaining an active account or requesting the applicable service.

Advocacy and PAC Communications

Users may receive KeystoneCRNA advocacy or PAC-related communications.

You may unsubscribe from these communications at any time using the unsubscribe mechanism provided in the message.

Unsubscribing from advocacy or PAC communications will not affect course access, continuing education credit, or an otherwise earned gift card reward.

KeystoneCRNA Product and Promotional Communications

We may occasionally send information about KeystoneCRNA products, services, educational offerings, or other KeystoneCRNA updates.

You can unsubscribe from promotional communications at any time using the unsubscribe link contained in the message.

Unsubscribing from promotional email does not prevent us from sending service-related or transactional communications necessary to administer your account or transactions.

We do not sell our email list or send marketing email on behalf of unrelated third parties.

8. Cookies

The Platform may use cookies and similar technologies that are necessary to:

• sign users into their accounts;

• maintain secure sessions;

• authenticate users;

• remember settings or preferences;

• prevent fraud or misuse; and

• operate essential Platform functionality.

Disabling essential cookies may prevent portions of the Platform from functioning properly.

KeystoneCRNA does not currently use Google Analytics, advertising pixels, retargeting tools, session-recording software, or other third-party analytics or advertising tracking technologies.

If KeystoneCRNA begins using analytics or advertising tracking technology in the future, this Privacy Policy will be updated before or when that practice begins, and any legally required notice or choice mechanism will be provided.

You may manage cookies through your browser settings.

9. How we protect your information

KeystoneCRNA uses administrative, technical, and organizational safeguards intended to protect personal information appropriate to the nature of the information we maintain.

These measures may include encrypted communications through HTTPS, access controls, restricted access to production information, security monitoring, and the use of third-party payment processors so that full payment card numbers do not need to be stored directly by KeystoneCRNA.

No website, database, network, or information system can be guaranteed to be completely secure. Accordingly, we cannot guarantee that unauthorized access, loss, misuse, or disclosure will never occur.

If KeystoneCRNA experiences a security incident that triggers notification obligations under applicable law, we will provide required notifications in accordance with those legal requirements.

10. How long we retain information

KeystoneCRNA retains personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including continuing education requirements, operation of the Platform, recordkeeping, dispute resolution, accounting, tax compliance, fraud prevention, and legal obligations.

Continuing Education Records

AANA provider requirements require applicable program records to be securely maintained and retrievable for at least 60 months.

Accordingly, KeystoneCRNA retains continuing education records necessary to document participation, assessment, completion, credits, and related provider obligations for at least 60 months and may retain them longer where reasonably necessary to document earned credentials, respond to an audit or dispute, or satisfy legal requirements.

Account Information

We generally retain account information while your account remains active.

If you request deletion of your account, we will delete or de-identify information that is no longer reasonably necessary, subject to records we need to retain for continuing education, accounting, tax, fraud-prevention, legal, or other legitimate purposes.

Transaction and Reward Records

Purchase, payment, refund, and reward records may be retained for accounting, tax, fraud-prevention, dispute-resolution, and legal purposes.

Ether Conversations

KeystoneCRNA stores Ether prompts and responses with your account while the account remains active. When the account is deleted, KeystoneCRNA deletes the associated Ether conversation history from its active application records. KeystoneCRNA’s application logs do not separately store the text of prompts or responses.

OpenAI may separately retain API inputs and outputs for up to 30 days under its standard abuse-monitoring practices, unless longer retention is required by law or reasonably necessary to protect its services or others from harm.

11. Your Choices and Privacy Rights

You may contact KeystoneCRNA to:

• request access to personal information associated with your account;
• correct inaccurate account information;
• request a copy of certain personal information we maintain about you;
• request deletion of your account or personal information;
• unsubscribe from promotional, advocacy, or PAC-related email; or
• ask questions about how we handle your personal information.

Deletion requests do not require KeystoneCRNA to delete information that we reasonably need to retain to:

• document earned continuing education credits;
• comply with AANA provider recordkeeping requirements;
• maintain appropriate financial or tax records;
• prevent fraud or abuse;
• establish, exercise, or defend legal claims; or
• comply with applicable law.

Depending on the law applicable to you, you may have additional privacy rights. KeystoneCRNA will respond to legally valid privacy requests as required by applicable law.

Exercising an applicable privacy right will not result in discriminatory treatment.

12. Who the Platform is for

KeystoneCRNA is a professional continuing education platform designed for Certified Registered Nurse Anesthetists and other eligible professional users where applicable.

The Platform is not intended for anyone under 18 years of age, and KeystoneCRNA does not knowingly collect personal information from children under 18.

If we learn that personal information from an individual under 18 was collected through the Platform in circumstances where it should not have been collected, we will take reasonable steps to delete it.

13. Third-Party Websites and Services

The Platform may contain links to websites or services operated by third parties, including AANA, Tremendous, Stripe, reward retailers, and other resources.

When you leave KeystoneCRNA or interact directly with a third-party service, that third party’s privacy policy, terms, and practices may apply.

KeystoneCRNA is not responsible for the privacy practices of third-party websites or services that it does not control.

14. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in the Platform, our practices, technology, service providers, or applicable legal requirements.

If we make material changes to how we collect, use, or disclose personal information, we will provide notice through the Platform, by email, or through another appropriate method when required.

If applicable law requires consent before we materially change how previously collected information is used or disclosed, we will obtain that consent before applying the new practice.

The “Last Updated” date at the top of this Privacy Policy identifies the most recent revision.
